Sales role: orders, customers, quotations, and WhatsApp

The front of the sales motion — parse and draft orders, manage customers and addresses, run quotations end-to-end, and chat on WhatsApp. Read-only on inventory and pricing.

Overview

The Sales role is built for the person who books the business — the field rep on the bike, the counter hand taking calls. It is the only role besides Manager and Owner that can turn a free-form WhatsApp message into order rows. A Sales user adds customers, drafts orders, quotes prices, and runs the full quotation cycle, then hands off. It does not move stock, raise invoices, or confirm dispatch — that keeps the money and warehouse desks clean while the rep keeps selling.

Where to find it

A Sales user signs in to the same Neev app and lands on the surfaces tied to selling.

  • Orders/orders (Quick view list). New draft at /orders/new.
  • Customers/customers. Add one at /customers/new.
  • Pricing & Quotes/pricing-quotations (the sidebar target; it shows the prices, slabs, and quotes tabs). Start a quotation at /quotations/new.
  • WhatsApp/whatsapp for conversations; Intake at /intake to catch incoming order messages.

On the phone, the rep lives in the Sales app: home at /m/sales/home and quick billing at /m/sales/bill. Sales does not appear in the Inventory, Suppliers, Returns, Invoices, or Reports navigation.

Key concepts

A few terms a Sales user works with daily:

  • A draft order is an order you have keyed in but not confirmed. Sales creates and edits drafts; advancing them is a Manager/Owner job.
  • Parse turns a free-form message — "2 boxes Surf Excel 1kg, 5 Lifebuoy 100g" — into matched order rows. Sales holds orders.parse.
  • A quotation is a priced offer you send a customer; once they accept it, you convert it to an order. Sales owns this whole cycle.
  • A price slab is the quantity-tiered rate the pricing engine applies. Sales can see slabs and list prices but cannot change them.
  • A counter-sale checkout closes a walk-in sale with a single tender (one payment). Sales can run this at the counter without holding the full invoice desk.

Common workflows

Turn a WhatsApp order into a draft

Open Intake at /intake, pick the incoming message, and run parse. Neev matches the lines to your SKU catalog and resolves the customer; review the rows, then save as a draft.

Add a new customer and address

Go to /customers/new, fill in the trader's details, and add a delivery address. You can set that address as the default so it pre-fills on the next order.

Build a quotation

From Pricing & Quotes, start a quotation at /quotations/new, add lines, and let the engine apply the customer's price slabs. Send it to the customer over their preferred channel.

Convert an accepted quote to an order

When the customer says yes, mark the quotation accepted and convert it. Neev carries the lines and prices straight into a draft order — no re-keying.

Close a counter sale

For a walk-in, use the mobile bill screen at /m/sales/bill, add lines, and check out with a single tender (cash or one UPI/card payment).

Role notes

This article concerns two roles. Sales is the acting role; Owner is the superset that can do everything a tenant allows.

What Sales can do: read and create orders, parse messages into order rows, read and create/update customers, add and update their addresses and set a default, read inventory and intake, read pricing, run the full quotation lifecycle (create, update, send, accept, reject, convert), read the HSN catalog, run a single-tender counter-sale checkout, and chat on WhatsApp.

What Sales cannot do:

  • Advance fulfilment. No confirm, transition-status, dispatch, pack, or cancel — Sales drafts orders only.
  • Touch invoices. Beyond counter-sale checkout and HSN read, Sales has no invoice access — it does not hold plain invoicing read, generate, mark-paid, or void.
  • Change list pricing. Sales can quote, but cannot edit price lists, discount rules, or assignments, and cannot reprice.
  • Manage customers fully. No bulk-create, no deleting an address, and no toggling a customer's blacklist flag.
  • Move stock or run the back office. No inventory writes, no returns, no suppliers, no reports, and no platform admin.

Owner holds every non-Pack permission, so it can do all of the above and everything Sales cannot — confirm and dispatch orders, raise and void invoices, reprice, and manage the team. (Pack features like Pharma or Dairy bind to Owner only once that Pack is installed.)

Tips & time-savers

Tip
Paste a customer's WhatsApp order straight into the Intake tray and run parse — Neev matches the SKUs and resolves the customer, so a five-minute retype becomes a five-second review. When you win a quote, convert it instead of re-keying: the accepted quotation flows into a draft order with prices intact.

Set a customer's default address once and it pre-fills on every future order, saving the rep a tap on each booking.

Gotchas

Warning
A Sales user can draft and parse orders but cannot confirm, dispatch, or cancel them — the order sits as a draft until a Manager or Owner advances it. Sales also has no plain invoice access: it can run a single-tender counter-sale checkout, but it cannot generate a normal invoice, record a payment against one, or void anything. If a rep needs the order shipped or invoiced, that hand-off goes to Manager or Owner.

A second trap: Sales can quote freely but cannot change list prices or discount rules. If a quote needs a rate the price list does not carry, the price-list change has to come from a Manager or Owner first.
